Schoolhouse Photos is committed to protecting the privacy and security of students, athletes, families, schools, and youth organizations.

We collect and use personal information only as needed to provide photography services, fulfill our agreements with schools and organizations, communicate with families, protect access to private galleries, and operate our business.

Information We Collect

Depending on the services being provided, we may receive or collect:

  • Student or athlete first and last name
  • Student or athlete ID number
  • Grade, homeroom, classroom, team, school, or organization
  • Student, athlete, and staff photographs
  • Parent or guardian email addresses
  • Parent or guardian phone numbers
  • Other limited information needed to provide authorized photography services

Schoolhouse Photos primarily receives student and athlete information from schools, school districts, youth organizations, parents, and guardians in connection with authorized photography services.

How We Use Information

We use personal information only as reasonably necessary to provide photography-related services, including to:

  • Identify students and athletes during photography sessions
  • Match photographs with the correct student or athlete
  • Create and deliver private photo galleries
  • Deliver photographs to parents and guardians
  • Verify identity and contact information before providing access to private galleries
  • Communicate regarding Photo Day, ordering, delivery, retakes, yearbooks, and related photography services
  • Provide student database images and identification cards
  • Provide photographs and information for yearbooks, class composites, staff composites, and other authorized school uses
  • Process and fulfill photography orders
  • Provide customer service

We do not sell Student PII or parent or guardian personal information.

We do not use Student PII for behaviorally targeted advertising.

Gallery Access and Verification

Because we provide access to photographs of minors, Schoolhouse Photos uses security measures designed to reduce unauthorized access to private student and athlete galleries.

Parents, guardians, and other authorized users may be required to provide or verify an email address, phone number, access code, or other identifying information before accessing a private gallery.

These verification steps are used for security and access-control purposes and are not designed to collect information for unrelated marketing purposes.

Schoolhouse Photos does not provide alternate access methods intended to bypass required verification procedures.

Information Provided by Schools and Organizations

Schoolhouse Photos often receives student, athlete, parent, and guardian information from schools, school districts, and youth organizations as part of the services we are authorized to provide.

When information is provided by one of these organizations, our use of that information may also be governed by our agreement with that organization and applicable law.

We limit our use of Student PII to purposes reasonably necessary to provide the authorized photography and related services.

Data Sharing

Schoolhouse Photos does not sell student, athlete, parent, or guardian personal information.

We may provide limited personal information to trusted service providers when necessary for them to perform services on our behalf. These providers may include:

  • Online photography and ordering platforms
  • Professional photo labs
  • Yearbook providers
  • Payment processors
  • Email and communication services
  • Data storage and technology providers
  • Other vendors needed to provide photography-related services

We provide or make available only the information reasonably necessary for these providers to perform their services.

Personal information may not be used by these providers for their own independent marketing purposes when acting on our behalf.

We may also provide photographs and related information back to the school, district, league, or organization that supplied or authorized the information when necessary to complete the services we were hired to provide.

We do not disclose personal information to unrelated third parties for their independent advertising or marketing purposes.

Data Security

Schoolhouse Photos maintains reasonable administrative, technical, and physical safeguards designed to protect personal information from unauthorized access, loss, misuse, or disclosure.

These safeguards may include password protection, restricted access, encrypted devices or storage where appropriate, secure file-transfer methods, private-gallery access controls, and other security measures.

Access to personal information is limited to individuals and service providers who reasonably need the information to perform authorized services.

No electronic system can be guaranteed to be completely secure, but we take reasonable steps to protect the information entrusted to us.

Data Retention

We retain personal information only for as long as reasonably necessary to provide our services, fulfill orders, provide customer service, complete school products, meet contractual obligations, maintain required business records, or satisfy applicable legal requirements.

When information is no longer reasonably necessary, we take reasonable steps to delete, destroy, or anonymize it, subject to normal backup, accounting, contractual, and legal retention requirements.

Parent and Guardian Requests

Parents, guardians, and customers may contact Schoolhouse Photos to request a correction, update, review, or deletion of personal information maintained by Schoolhouse Photos.

When student information was originally provided by a school, district, or organization, we may need to coordinate changes with that organization before updating the information.

Schoolhouse Photos will take reasonable steps to verify the identity and authority of a person making a request before providing, changing, or deleting personal information.

Certain information may need to be retained when required for order fulfillment, contractual obligations, legitimate business records, or applicable law.

Third-Party Services

Schoolhouse Photos may use or link to third-party ordering platforms, payment processors, yearbook providers, and other services.

When a customer interacts directly with a third-party service, that provider may collect or process information according to its own privacy policy and terms.

Changes to This Policy

Schoolhouse Photos may update this Privacy Policy as our services, technology, business practices, or legal requirements change.

This Privacy Policy is reviewed and updated annually, as needed, for each school year.
